Event Hospitality Coordinator
Reports to the USQ Events Director
Primary Responsibilities
- Oversee hospitality aspects of all Regional Championships, National Cup
- Housing provided at events that they work on-site as a volunteer
Tasks may include, but are not limited to:
Team Services
- Create team welcome packet and one sheet
- Secure event trophies and/or medals
- Work with the gameplay and logistics coordinators to ensure that a visible public rankings and/or bracket board is present on-site and is updated frequently throughout the weekend. Includes online, both during the event and after
Guest Services
- Address all guest concerns promptly and professionally
- Ensure that all guest needs are maintained at all pitches
Vendors
- Research and coordinate outside vendors
Other Projects when applicable:
- Coordinate ticket sales on site through the box office
- Coordinate communication with guests via print, social media, and on-site announcements
- Plan youth quidditch matches throughout the event, including reserving facility space, securing equipment, and recruiting and training volunteers
- Organize spectator activities
- Organize VIP experience
- Plan additional non-gameplay events as applicable, including opening ceremonies, entertainment, closing ceremonies, and afterparties
On site at USQ events:
- Keeping track of event merchandise and selling it as needed
- Maintaining organization of HQ tent
- Lost and found tracking
