Tournament Host Bid Update

After inviting cities and teams to submit bids for World Cup VII and this year's regional championships, the IQA has received exciting and promising bids from sites in multiple locations around the United States and Canada. The IQA will continue to evaluate and refine these bids over the next several weeks, with the goal of announcing all regional championship and World Cup dates by the middle of August.
The IQA is still seeking bids to host regional championships in the following regions: Northeast, Mid-Atlantic, and West. We strongly encourage established teams to submit bids to host regional championships in these locations.

As a reminder, teams can submit bids to have the IQA host a regional championship on their campus, acting as liaisons between the IQA and their school's administration, or teams can submit bids to host a regional championship at a third-party site, such as a public park or a rented sports facility.
Each bid must address the points listed in the bid outline below, note whether or not the host is able to provide the requested items, and list additional details about the state of the item (quantity, location etc.) All bids must be received by
11:59PM on August 4th, submitted as a PDF to
joe.pickett@internationalquidditch.org.
Host Expectations
First and foremost, the host must be able to provide a venue at low rental cost or no fee to the IQA that contains the following items:
-At least four quidditch fields (park, college, stadium venue) with dimensions of 180' x 144'. Must be flat ground with grass or Astroturf surface. Soccer fields are best for this purpose.
-Available space around each pitch to create a buffer zone, plus ability to place spectator seating (chairs or bleachers). Facilities with existing bleachers are ideal.
-The venue must be available for Saturday and Sunday of any weekend in November 2013 and/or February 2014 (Northeast and Mid-Atlantic bidders should disregard for February unless they have an indoor venue).
Bid must include a map of facility outlining proposed quidditch field sites, including:
-HQ (indoors and heated or with air conditioning if possible)
-Medical tent (with road access for ambulance)
-Team check-in (near entrance)
-Volunteer check-in
-Scheduling and results (near HQ)
-Drinking water available on-site.
-On-site restroom facilities
-Access to power
-The event venue must be allowed to have amplified sound and music.
-On-site or nearby storage area, at least 15 x 10'
-Handicapped-accessible paths
-Extensive parking, including handicapped-accessible parking.
Additional Host Expectations:
-Assistance in promoting the regional championship to the local community
-Volunteers and support staff on-site leading up to, during, and after the event
Strong applicants will be able to provide some or all of the following items. Applicants who cannot provide some or all of these items should list the name and contact information of at least one local company who can:
-Pop-up tents
-Audio, including speakers, microphones, and soundboards
-Staging or other elevated platforms
-Security company or law enforcement
-Portable restrooms (if the facility is not already equipped)
-EMTs and medical services, including at least one ambulance
-Transportation – 14' truck, cargo van, passenger vans (7 and 14)
-Fencing and barricade services
-Rental/use of tables and chairs
-Trash/sanitation company (both recycling and trash)
-Printing, signage, and banner services
-On-site wireless Internet
-Lighting for pre-dawn set-up and/or after-dark games/clean-up
The IQA will provide:
-Insurance coverage for event
-Sanctioning and announcement of tournament, and promotion to IQA teams
-Financial sponsorship of event – final amount based on number of attending teams.
-Event planning team (Regional Championship Committee)
-Complete regional championship schedule, to include facility usage schedule, game schedule, set up and tear down times, and shipping and storage needs.
-Event officials & support staff, volunteers (scorekeeper, setup/tear down, etc…).
-Gameplay equipment
-Marketing support on the IQA website, social media, and in press releases
Note:
IQA must be allowed to sell merchandise on-site and keep 100% of IQA merchandise revenue.
IQA retains approval rights of other vendors at the event.
